Service agreement

Terms of Service

These terms govern access to and use of Runcina. They are written for business account owners, administrators, team members, and people using a Runcina customer portal.

Effective 24 August 2026 · Updated 17 October 2026

1. Agreement and eligibility

By creating an account, joining a Runcina business, accessing a customer portal, or otherwise using the Runcina website, web application, or mobile applications (the Service), you agree to these Terms of Service and our Privacy Policy.

You must be at least 18 and legally able to enter this agreement. If you use Runcina for an organisation, you confirm that you have authority to bind that organisation. If you do not agree, do not use the Service.

2. Accounts and teams

You must provide accurate account information, keep sign-in credentials and devices secure, and promptly tell us about suspected unauthorised access. You are responsible for activity performed through your account unless caused by Runcina's breach of these terms or applicable law.

A business owner controls invitations, roles, billing, integrations, exports, and ownership transfer. Administrators and members receive more limited access. The owner is responsible for assigning appropriate roles, removing access when it is no longer required, and resolving authority disputes within the business.

3. Business data and permissions

As between you and Runcina, you retain ownership of the information and content you submit to the Service (Business Data). You grant Runcina a limited licence to host, copy, process, transmit, display, back up, and otherwise use Business Data only to operate, secure, support, and improve the Service and meet our legal obligations.

You are responsible for:

  • having authority and any required notices or consents to enter client, employee, property, photo, and communication data;
  • checking the accuracy of schedules, quotes, invoices, tax settings, reports, payment records, and exports;
  • keeping your own copies of records that your business must retain; and
  • ensuring instructions, access notes, photos, and messages are lawful and appropriate.

Runcina includes export tools for eligible roles but is not a substitute for your statutory record-keeping, backup, accounting, tax, legal, safety, or employment obligations.

4. Plans, subscriptions, and billing

Runcina may offer a free plan with usage limits and paid plans with additional capacity or features. Current pricing, currency, billing interval, taxes, and included features are shown before purchase. The current free plan supports up to 10 active jobs; plan details may change prospectively with reasonable notice.

  • Paid subscriptions renew automatically for the interval shown at checkout until cancelled.
  • You authorise the billing provider to charge the selected payment method, including applicable taxes.
  • The business owner can cancel through Settings > Subscription > Manage billing in the web app. Follow the cancellation steps and keep the portal confirmation. Unless stated otherwise, paid access continues until the end of the current billing period.
  • Fees already paid are not refundable except where required by law or expressly stated at purchase.
  • Permanent account deletion is different from cancelling a plan while keeping the account. It cancels linked subscriptions for eligible owned businesses immediately and pauses changes while records are removed. It does not automatically refund payments or settle outstanding amounts. See account deletion and pending requests.
  • If payment fails, features may be restricted after any required notice or grace period.

Stripe currently processes Runcina subscription payments. A business may separately connect its own Stripe account to collect customer invoice or deposit payments. That business, not Runcina, is the seller of its lawn care services and is responsible for its customers, pricing, refunds, disputes, and taxes.

5. Customer communications

Runcina supports manually sending customer emails and preparing SMS drafts for you to send through your phone's messaging app. Automated reminders and SMS delivery through Runcina are planned after launch and are currently unavailable. The business controls recipients, content, timing, automation settings, and opt-out records. You must comply with applicable marketing, spam, privacy, consumer, and telecommunications laws and promptly honour opt-out requests. Do not use Runcina to send deceptive, unlawful, harassing, or unsolicited messages.

6. Third-party services

Optional features may connect to services such as Stripe, Xero, Google, Facebook, Apple, map providers, weather data, email, or SMS delivery. Your use of those services is also governed by their terms. You authorise Runcina to exchange the information needed to provide the feature you enable.

Third-party availability, decisions, fees, retention, and errors are outside Runcina's direct control. Disconnecting an integration stops future authorised access but may not delete information already held by that provider. You should verify provider-generated payment, accounting, map, forecast, and delivery results.

7. Acceptable use and intellectual property

You must not:

  • use the Service unlawfully, fraudulently, or to infringe another person's rights;
  • upload malware or content you are not authorised to use;
  • attempt to bypass access controls, probe security, disrupt the Service, or access another business's data;
  • reverse engineer or copy the Service except where the law does not allow that restriction; or
  • resell, scrape, or use the Service to build a competing dataset or product without written permission.

Runcina and its licensors own the Service, including software, branding, design, and documentation, excluding Business Data. We may use feedback without restriction or payment, provided we do not identify you publicly without permission.

8. Availability, changes, suspension, and termination

We work to provide a reliable Service, but maintenance, network failures, providers, security incidents, or circumstances outside our control can cause interruptions. Features may evolve or be retired. Where practical, we will give reasonable notice of a material change that substantially reduces paid functionality.

You may stop using Runcina and request deletion at any time, subject to subscription cancellation and lawful retention. We may suspend or terminate access for material breach, security risk, unlawful use, non-payment, or where required by law. Where appropriate, we will give notice and a reasonable chance to remedy the issue.

Business owners should export required records before termination. Team-member deletion does not erase shared business records that the member created while acting for that business. See Delete a Runcina account for the current process.

9. Warranties, professional advice, and liability

Operational tool, not professional advice. Runcina reports, tax labels, forecasts, routes, estimates, and accounting exports require review. They are not accounting, tax, legal, financial, weather, safety, or employment advice.

The Service is provided with due care and skill required by applicable law. Other than rights and guarantees that cannot lawfully be excluded, Runcina does not promise that every feature will be uninterrupted, error-free, or suitable for every business purpose.

To the maximum extent permitted by law, neither party is liable to the other for indirect, incidental, special, or consequential loss that was not reasonably foreseeable. Runcina is not responsible for losses caused by inaccurate Business Data, instructions from authorised users, unsupported reliance on estimates or reports, or a third-party service outside our control. Nothing in these terms excludes, restricts, or modifies a right or remedy that cannot be excluded under applicable consumer law, including the Australian Consumer Law.

10. General terms

We may update these terms to reflect Service, legal, security, or commercial changes. We will identify the effective date and provide additional notice where required. Continued use after an update takes effect means you accept the updated terms; if you do not agree, you should stop using the Service and cancel before renewal.

The laws in force in Queensland, Australia apply to these terms, subject to mandatory laws that apply where you are located. If one provision is unenforceable, the remaining provisions continue. A delay in enforcing a right is not a waiver. You may not transfer this agreement without our consent; Runcina may transfer it as part of a merger, reorganisation, financing, or sale of the Service, with any notice required by law.

These terms and the Privacy Policy are the agreement between you and Runcina about the Service. Questions can be sent to admin@runcina.app.
