Connected office work

Payments, accounts and reminders.

Give customers a way to pay, send invoice details to Xero and follow up work from the same business workspace. Choose the connections and reminders that fit your round.

Let customers pay an invoice online

The business owner connects Stripe from Settings and completes Stripe’s account setup. Once the account is ready to accept payments, create and share an invoice payment link.

Creating a link leaves the invoice unpaid. A confirmed online payment updates the payment record. You can also record cash and bank-transfer payments yourself.

You can schedule work and create invoices before connecting Stripe. Online payment links need an internet connection and a ready Stripe account.

Send invoice details to Xero

The business owner connects Xero in Settings, selects the organisation, and chooses a sales account and tax mappings. Owners and administrators can then use Send to Xero on an eligible unpaid invoice.

The export creates a draft sales invoice in Xero, ready for you or your bookkeeper to review. It includes the customer, invoice lines and tax details. The app records the exported invoice so repeating that export can open the existing result.

Review and approve the draft in Xero. Keep payment records up to date in each system: the invoice export does not bring later Xero payment changes back into Runcina. Paid and partly paid invoices cannot be exported through this flow.

Follow up when you choose

Owners and administrators can send enabled customer emails manually. The business owner chooses Off or Manual in Settings. Check unpaid invoices and sent quotes, then choose when to follow up.

Coming after launch: automatic reminders and pay-per-use SMS. These controls are unavailable in the initial release. Planned reminder timings are:

  • Invoice reminders: three days before the due date, on the due date and seven days overdue, while a sent invoice still has a balance.
  • Visit reminders: the day before a pending visit, at your chosen send hour.
  • Quote follow-ups: three days after sending, while the quote is still awaiting a response.

Automatic reminder checks are not active at launch. General customer emails are sent when you choose the action. Phone SMS drafts open in your own messaging app for you to review and send. A completed job does not automatically email an invoice.

Save the customer’s email address first. Server-sent emails respect saved opt-outs and include an unsubscribe link. Future pay-per-use SMS will require separate setup, usage billing and a monthly estimated spend limit.

Keep your business contact details current. Email replies go to your saved contact email when one is set. Check communication history for skipped or failed messages. A sent status means the provider accepted the message; it does not confirm the customer has read or received it.

You stay in control of the round

Set recurring visits and arrange the day’s stops yourself. Postpone rain-hit work or choose a new date manually. Weather checks and suggested dry dates are coming after launch.

Review invoices created from completed work before issuing or sharing them. Sending a message, preparing a payment link and receiving payment are separate steps, each with its own status.

Plan for separate service charges

Your Runcina subscription covers the business workspace. Stripe payment processing and a separate Xero subscription can add charges. Pay-per-use SMS is coming after launch; its pricing and sending limits will be explained before activation.

Review the terms and prices for your provider account and country before connecting. Your bookkeeper can help choose the right Xero account and tax mappings.
